RFP Amendment Checklist for Proposal Teams
A practical RFP amendment checklist for deadlines, instructions, forms, scope, pricing, acknowledgments, and response ownership.
Confirm the document set
Start with the authoritative solicitation and the exact amendment being reviewed. Record the solicitation number, amendment number, issue date, and source location before comparing text.
Odvero RFP compares one original and one amendment at a time. When several amendments exist, review them in order and keep the source documents separate.
- Original solicitation or current controlled baseline
- Correct amendment number and issue date
- Every attachment referenced by the amendment
- The issuer’s acknowledgment instructions
Review high-consequence changes first
Prioritize changes that can make a response late, incomplete, incorrectly priced, or nonresponsive to the current instructions.
- Submission deadline, time zone, portal, address, or delivery method
- Required forms, signatures, certifications, and attachments
- Scope, quantities, performance dates, qualifications, and evaluation factors
- Pricing format, page limits, file names, packaging, and acknowledgment requirements
Separate changed, added, and deleted requirements
A revised clause belongs in the changed list. A genuinely new requirement belongs in added. A pure deletion belongs in explicitly removed only when the amendment uses an affirmative delete, remove, omit, or strike instruction.
A replacement or superseding instruction changes the referenced requirement; it is not merely a deletion. Do not treat a baseline clause as removed only because it is absent from a partial amendment.
Assign every verified action
For each confirmed finding, record the source reference, response impact, owner, due date, and completion evidence. Uncertain items should remain questions until the authoritative documents or issuer resolve them.
Run the final source check
Before submission, verify that changed dates appear consistently, required acknowledgments are included, added attachments are present, and replaced instructions no longer control the response. The comparison is a review aid; the complete solicitation and amendments remain authoritative.
